5. Messaging via Facebook Messenger, Instagram, and WhatsApp

When you write to us on Facebook Messenger, Instagram Direct, or WhatsApp, we receive through the Meta platforms the minimum data needed to reply to you. This section explains exactly what we do with it:

•What we receive: your identifier, valid only for the conversation with our page (PSID/IGSID), or your phone number in the case of WhatsApp, your public profile name, and the content of the messages. We do not request and do not receive your email address, friend list, photos, or any other information from your Facebook or Instagram profile.
•Why we use it: solely to answer your question, to book or change an appointment, and to keep the conversation history so that the colleague who picks up your request can continue the discussion.
•What we never do: we do not sell, license, or purchase this data, we do not use it for advertising or to build user profiles, we do not combine it with data obtained from other sources, and we do not use it for automated decisions about people.
•Who has access: only authorized clinic staff, through individual accounts. Each new message triggers an internal notification to the team, in a private channel used strictly to pick up requests quickly.
•How long we keep it: conversations are kept for at most 24 months after the last message, and are deleted afterwards. We delete them sooner if you ask us to.
•The role of the Meta platforms: the conversation also runs on Meta's infrastructure (Facebook, Instagram, WhatsApp), and the processing carried out by Meta is governed by its own policies, over which we have no control.

We recommend that you do not send detailed medical information or sensitive documents through messaging. For those, we are available at the clinic or by email.

6. Storage, security, and retention period

Your personal data is stored in secure systems and is protected by appropriate technical and organizational measures against unauthorized access, loss, or destruction. Access is restricted through individual accounts, with permissions limited to each person's role. Medical documentation is retained for the period required by applicable legislation; messages received through the contact form and conversations from the messaging channels are kept for at most 24 months after the last interaction. If you identify a security issue in our website or services, please write to us at the address in the Contact section — we review and remediate such reports as a priority.

We do not sell or rent your personal data. We share it only with the providers that help us operate the service — website and database hosting, the email service, the messaging platforms you write to us on, and the service through which our team receives internal notifications — which are required to process the data solely on our instructions and in accordance with this policy; with partner dental laboratories where necessary for prosthetic work; and with the competent authorities where applicable legislation requires it.

You can ask us to delete your data at any time, whether you are a patient of the clinic or have only sent us a message on Messenger, Instagram, or WhatsApp. The procedure is as follows:

•Send a request to the email address below with the subject “Data deletion”, or write to us directly in the conversation on Messenger, Instagram, or WhatsApp.
•State the name you contacted us under and the channel you used (Messenger, Instagram, WhatsApp, contact form) or your phone number, so that we can identify the records.
•We confirm receipt of the request and delete the data within 30 days at the latest.
•The only exception is data that medical documentation legislation requires us to retain; in that case we will tell you exactly what remains stored and for how long.
